The Administrative Assistant is the first point of contact for clients and play a crucial role in the day-to-day operations of the firm.
This position requires a highly organized, reliable, and professional individual who is capable of managing multiple tasks efficiently while maintaining the highest standards of customer service.
Key Responsibilities :
- Greet clients and visitors with a positive, helpful attitude, ensuring a welcoming environment.
- Handle incoming calls and emails, providing information, taking messages, or redirecting queries to appropriate departments.
- Prepare and manage correspondence, reports, and documents related to tax preparation and other accounting services.
- Maintain filing systems, both electronic and physical, ensuring confidentiality and easy access to documents.
- Assist in the preparation of client tax documents and forms for meetings and submissions.
- Assist with scheduling appointments, managing calendars, and coordinating meeting logistics.
- Perform other administrative tasks as needed to support the team and ensure efficient office operations.
Required Qualifications :
- Proven experience as a Front Desk Representative, Administrative Assistant, or similar role, preferably within an accounting firm or financial services environment, but not required.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with clients and team members.
- Strong organizational skills with the ability to multitask and prioritize work effectively.
- Proficiency in Microsoft Office Suite
- High school diploma required; further education or certification in administrative services or a related field is preferred.
Preferred Qualifications :
- Experience within an accounting firm
- Experience with tax & accounting software tools & suites (such as CCH Axcess and Thomson Reuters Netsuite CS)
- General familiarity with technology
- Familiarity with tax preparation and assembly processes
Compensation / Pay Rate (Up to) : $30.00 - $43.00 Per Hour
